How to Use a 10-Day Demand Letter in Accounts Receivable

A 10-day demand letter is the final notice a business sends on a past due account before the account goes to a collection agency. It sets an exact balance against a fixed date and says what follows when the date passes.

Most creditors send reminders for months before anyone writes a letter like this. By then the customer has learned how the creditor handles deadlines, usually by watching several of them slide. The demand letter resets that lesson, and it only works if day eleven looks different from day ten.

When to send one

Send the demand once your regular reminders and calls have run their course and the customer has gone quiet or keeps moving the payment date. A customer you already expect to stall can get it sooner.

The Vital Warning Signs assessment reads a customer's broken promises and silences for what they say about where the account is heading, and our guide to when to place an account with a collection agency explains why sixty to ninety days past due is the window to work within.

What makes it work

Specifics carry the letter. Naming the invoices and the exact balance lets the customer find the problem in their own system within a minute, and a calendar date in place of “ten days” leaves no room to argue about when the clock started. Disputes belong before the deadline, where a real disagreement surfaces now instead of arriving late as “we never agreed to that,” and a tracked mailed copy sent alongside the email puts receipt on record.

Then hold the date. A deadline followed by another reminder turns the demand into one more reminder, and a customer who has watched that happen once will read the next deadline the same way. The three stages of a customer in trouble show how quickly that reading hardens.

About collection costs

Many sample letters warn that collection costs will be added to the balance. The warning holds only when your contract or invoice terms give you the right to recover those costs, so check your terms before keeping the line.

[Customer Business Name] Attn: [Contact Name, Title] [Street Address] [City, State ZIP]

Re: Past Due Account, Invoice(s) [Numbers] Balance Due: $[Amount]

Dear [Contact Name],

This letter is formal notice that [Customer Business Name] owes [Your Company] $[Amount] for [goods/services] invoiced on [date(s)]. We contacted your office about this balance on [dates], and the account remains open.

Payment in full is due by [Due Date], ten days from the date of this letter. You can pay by [payment methods and details]. If you believe any part of this balance is in dispute, contact [Name] at [phone/email] before [Due Date] with the invoice numbers and the reason for the dispute.

If the balance remains unpaid on [Due Date] and we have no written payment agreement in place, we will place this account with a commercial collection agency. [Optional, only if your terms allow it: Under our terms dated [date], collection costs and interest may be added to the balance.]

Sincerely,

[Name] [Title] [Your Company] [Phone] | [Email]

Next step

What happens on day eleven

If the date passes and the balance is still open, place the account. Every week between the missed deadline and the placement tells the customer the letter was a bluff. JSD works B2B placements on contingency, so our fee comes only from what we recover.
